  2. Adaptable, Flexible, and Accountable Execution: The process must offer a clear, adaptable, and flexible path for executing every type request. This means accommodating various types of purchases and also internal service requests—whether routine or one-off—while ensuring accountability at every step. A streamlined execution path reduces the temptation to bypass the system and ensures that each request is handled efficiently.
  3. Deep Integration with Accounting Systems: Finally, for a procurement system to truly add value, it must be deeply yet efortlessly integrated with the company’s financial processes and systems. This integration ensures that every transaction is automatically classified and reconciled, providing real-time insights into spend, compliance, and budget performance.

Our findings from millions of transactions across diverse systems highlight a critical point: even the best-intentioned policies fall short if the underlying processes are not user-friendly or covering only some of the needed outcomes. When the official pathway is riddled with friction, employees will always find ways to work around it, leading to inefficiencies and lost opportunities for cost savings.
